Top Health AI, LLC ("Top Health AI," "we," "us," or "our") provides AI-powered technology and related services to healthcare organizations. This Privacy Policy explains how we collect, use, disclose, and protect information when you visit our website or use our services.
1. Information We Collect
Depending on how you interact with Top Health AI, we may collect:
- Contact and account information, such as your name, email address, phone number, organization, and login information.
- Practice and professional information, such as practice information, provider information, office hours, scheduling rules, and other information needed to configure and provide our services.
- Patient and healthcare information. When our services are used by a healthcare organization, we may process information provided during patient calls, scheduling, messages, or other workflows. Some of this information may constitute Protected Health Information ("PHI") under HIPAA.
- Technical information, such as IP address, browser, device information, logs, and information about how our website and services are used.
- Payment information. If you purchase our services, payment information may be processed by our payment providers.
2. How We Use Information
We use information to:
- provide, configure, operate, and support our services;
- answer calls, support scheduling, process messages, and perform other workflows requested by healthcare organizations;
- integrate our services with EHRs and other authorized systems;
- authenticate users and maintain security;
- communicate with customers and prospective customers;
- process payments;
- troubleshoot, maintain, and improve our services; and
- comply with applicable legal and regulatory requirements.
3. HIPAA and Protected Health Information
When Top Health AI processes PHI on behalf of a healthcare provider or other HIPAA-covered entity, we act as a Business Associate and handle PHI in accordance with HIPAA and the applicable Business Associate Agreement.
The healthcare organization remains responsible for its own Notice of Privacy Practices and for determining how patient information may be used and disclosed.
This Privacy Policy applies to information Top Health AI collects outside its role as a Business Associate. PHI processed on behalf of a healthcare organization is governed by HIPAA and the applicable Business Associate Agreement.
4. How We Share Information
We may disclose information:
- to the healthcare organization on whose behalf we provide services;
- to service providers that help us operate, secure, integrate, and support our services;
- when you direct or authorize us to do so;
- when required by law or necessary to protect legal rights or security; or
- as part of a merger, acquisition, financing, or sale of all or part of our business.
We require service providers that handle PHI on our behalf to comply with applicable HIPAA requirements.
We do not sell PHI.
5. Data Security
We use administrative, technical, and physical safeguards designed to protect information against unauthorized access, loss, misuse, or disclosure.
No system can guarantee absolute security, but we maintain safeguards appropriate to the nature and sensitivity of the information we process.
6. Data Retention
We retain personal information only as long as reasonably necessary to provide our services, meet contractual obligations, comply with applicable law, resolve disputes, and protect our legitimate business interests.
PHI is retained and deleted in accordance with applicable agreements, policies, and legal requirements.

Top Health AI's website and services are not directed to children for independent use. When information about a minor is processed through services provided to a healthcare organization, it is handled on behalf of that organization and subject to applicable healthcare and privacy requirements.
